Event and conference filming

Launches, awards, open days and conferences. Highlights while the event is still fresh, and every talk recorded properly.

Make the event last longer than the day

You spend months planning an event and it is over in an afternoon. Good video lets it keep working: a highlights film to sell next year's tickets, clips for social while people are still talking about it, and recordings of every talk for the people who could not make it.

Live event experience you can lean on

Events do not stop for retakes. Our camera work comes from live television: sport, music, premieres and state occasions, where you get one chance at every moment. We know where to stand, when to move, and how to stay out of your guests' way.

Conferences done properly

For conferences we put two cameras on the stage, take clean sound from the venue's desk and record the slides, so each talk can be edited into something people will watch afterwards. Add live streaming if remote delegates need to watch on the day.

Conference recordings, talk by talk

A conference recording is only useful if people can find the talk they missed and follow it. So each session is edited on its own, with the speaker and the slides cut together and the sound taken straight from the desk rather than from a microphone at the back of the room. You get every talk as its own video, ready for your website, a members' area or YouTube, plus a short highlights film of the whole day.

That library keeps working long after the event. Delegates catch up on the sessions that clashed, members who could not travel watch at their desks, and next year's speakers and sponsors see the standard of the day before they sign up.

Awards evenings and launches

On an awards night the moments that matter are short: the name read out, the walk to the stage, the handshake and the photo. We plan camera positions around the stage and the winners' route before the doors open, so we are in place for each of them. Winners and sponsors want their clip while the news is fresh, and on a full day booking the first clip usually arrives within 2 working days.

Launches and open days work the same way. A short highlights film shows the room, the product and the people, and vertical clips for social media give the event a second life online.

What the day looks like

We arrive before your guests, set up the cameras, check sound with the venue's technician and agree any no-go areas with you. During the event we work quietly and stay out of sight lines. Afterwards we pack down and leave the room as we found it.

Before the day, it helps to tell your speakers and delegates that the event is being filmed, for example in the joining instructions and on a sign at the door. If a speaker asks not to be recorded, tell us and we leave their session out.

Events across the Midlands

We are based in Nottingham and film events across the East and West Midlands with travel included, from conference centres and hotels to stadium suites, theatres and company offices. Further afield, travel is agreed before you book. If you are planning an event in Nottingham, Derby, Leicester or Birmingham, our pages for each city cover the local detail.

Questions

Events and conferences: FAQs

How soon do we get the highlights?

Full-day bookings usually get a first social clip within 2 working days. Highlights films are delivered within 7 working days after the event.

Can you film and live stream the same event?

Yes. The live stream is recorded in full and we can edit highlights from the same cameras.

Do you need anything from the venue?

A feed from the sound desk for talks, a power socket near the cameras, and somewhere safe to keep our cases. For streaming, a wired internet connection.

How much does event or conference filming cost?

Half a day of event filming is £545 plus VAT and a full day is £750. Conference recordings, with two cameras, desk sound and every talk edited with its slides, start at £995. Anything not on the list gets a fixed price within 1 working day.

What do we get after a conference?

Every talk as its own edited video with the slides, ready to upload to your website, a members' area or YouTube, plus a highlights film of the day.

Can you film a conference with more than one room?

Yes. Each room needs its own cameras and operator, so tell us how many rooms run at the same time and we will send a fixed price within 1 working day.

Do speakers and guests need to agree to be filmed?

It is good practice to tell them in advance, for example in the joining instructions and on a sign at the door. If a speaker asks not to be recorded, tell us and we leave their session out.

Can you film evening and weekend events?

Yes. Awards nights often run late and many events fall at weekends. Evenings, weekends and bank holidays add 20% to the listed price, confirmed before you pay anything.
